When Phase 4 is switched on for your practice, prescriptions will be sent using EPS

for patients

without a nomination,

as well as for those with a nomination

Where no nomination is in place (or the patient chooses not to use their nomination on that occasion) the patient will be given an EPS Token to take to a Pharmacy of their choice 

Non-dispensing patients can still continue to nominate their preferred pharmacy to receive their prescriptions

For Dispensing practices, dispensing patients will continue to receive paper prescriptions

**IMPORTANT ** Ensure all users (if already logged into SystmOne) log completely out of SystmOne and then log back in again for changes to take effect. This includes the System Administrator that enabled EPS Phase 4.

Things to consider / remember:

When printing tokens with Phase 4 enabled, tokens will only be printed AFTER they have been electronically signed

It is mandatory to print a Phase 4 EPS Token, for patients that have not nominated a pharmacy

Where possible, always get a patient to nominate a dispenser, as this means there is no need to issue an EPS Token

If a patient has a nomination, and the prescription has been sent via EPS, use the DO NOT PRINT TOKEN option

FP10s should be the exception rather than the rule. However, Dispensing practices should still use FP10s for Dispensing Patients

Decide on your process in circumstances when a clinician that cannot sign EPS prescriptions (e.g. a non-prescribing nurse) requires an EPS digital signature there and then. The Prescription will have to be sent to the EPS Signing queue by the nurse for the clinician to sign electronically now

Will the EPS Token (if the patient does not have a nomination) be printed by the clinician as they electronically sign the prescription, or will it be printed by the nurse when they return to the patient in their consulting room?

– displays prescriptions / tokens that have been signed and are waiting for printing. The tab will contain tokens for non-nomination patients that require printing. Clicking on the Pharmacy column puts the information in Pharmacy order

Pharmacy Column

The Non-Nominated patients will be at the top of the list, with the Pharmacy Name blank. These patients can all be selected and then a right click will show a Print option (alternatively there is also a Print button above the ETP Printing tab, top left). Clicking Print will then print all the Phase 4 tokens on the prescription printer linked to that particular computer.

– displays all EPS prescriptions that are required to be authorised/signed before printing.

 

FP10 Printing tab – displays FP10s ready for printing. Useful to check this periodically in case any FP10s were not printed at the time they were issued. Use the date filters to search for scripts and then select the required scripts and right click and select Print or use the Print button at top left of window.9

Quick Print –

In Phase 4, Quick Print will print a non-nominated EPS token, even if that patient has a Nominated Pharmacy or Appliance Contractor.

However, if you are at a dispensing practice and your Quick Print settings (in User Preferences > Prescribing > Quick Print) are set to Dispense Now or Dispense Later, then an FP10 will be printed and a dispensing job created when you use Quick Print when prescribing for a dispensing patient.

When a clinician signs a Phase 4 prescription, they will be able to choose to print a token at the time of signing, or to defer it to be printed later (it is mandatory to print a Phase 4 token).

If you print the token later, this will be accessible from the ETP Printing tab of the Prescription Search screen (see slide 8 above)

Prescription printing screen click Sign/print now

GP enters PIN

Record closes EPS token is printed out as normal on his/her printerN.B. If the GP wishes to print the token and keep the patient record open, click the Quick Print button on toolbar. This will prompt the GP to enter the PIN number. The EPS token is printed out as normal on his/her printer

Signing Later (Bulk Signing)

When a clinician bulk signs prescriptions later from the EPS Prescription queue screen, there are now some additional token printing options - they can choose whether to print the Phase 4 token now, or later if the patient

does not

have a nominated pharmacy

If the clinician does not want to have the Phase 4 tokens printing from their printer (likely scenario) then the Print Token Later option for No nominated pharmacy prescriptions should be selected and saved as a default

The tokens can then be printed by admin/reception/prescribing clerk from their computer using the ETP Printing tab process

Printing a one-off EPS Phase 4 token for a nominated patient

Untick the nominated dispenser in the EPS options section of the Print Issues screen. This will then complete the prescription as a non-nominated prescription. It

does not

permanently remove the nomination

Printing a one-off FP10 for a patient

Choose to print the prescription later from the Print Issues dialog. Then…

Go to the Prescription Search Screen and select the ETP Signing tab

Select the prescription from the list, right click on it and select ‘Revert to FP10’ option – see below

Confirm the pop-up box to say that the prescription will be printed by FP10

Then select the FP10 Printing tab, enter the current date in the filter options, click on Run Report, and then select the prescription from the list and right click on it to Print the FP10

Private Issues

Some instalment prescribing (Repeat Dispensing) not suitable for EPS token printing, e.g. oral liquid methadone, 7 day prescribing.If, in the professional judgement of the prescriber, the welfare of the patient is likely to be in jeopardy, a paper prescription can be issued

Non-nominated Patients

If a non-nominated patient loses their token can they still get their medication?

Yes, if they know their NHS number, the Pharmacist can search the Prescription Tracker for authorised medication and download it

If a non-nominated patient is on holiday and contacts the surgery for a prescription, will they be able to collect it at their nearest pharmacy?

Yes. When the prescription is signed by the GP it goes directly to the Spine. The patient won’t have a printed token, but if they give their NHS number to the Pharmacist, they’ll be able to search the Prescription Tracker

If a non-nomination patient needs Repeat Dispensed medication, can this be done electronically?

Yes. Process the RD prescription as normal and print out the RA token. The patient can then present the token at the pharmacy on each occasion to collect their medication
