10. The “Elapsed Time or Quantity” column can be recorded in: Hours / Dollars / NumbersWhat you record in this column is based on what is in the “Pay Item Code” column to the right.Above is an example of flight time (FT) hours recorded in 100th. (1341 – 1405 = 24 minutes = .40)Parts of the AMD-23: Pay Items / Charge Codes

11. When entering numbers in the column, there are four digits in the column. Ignore the decimal point. Start on the right of the decimal point and work left.Example above shows a driver who drove 132 miles would be recorded as: 01.32Parts of the AMD-23: Pay Items / Charge Codes

12. When recording dollar amounts, round up or down to the nearest dollar and ignore the decimal point. Example: $198.00 would be recorded as 01.98Example: $7.43 would be recorded as: 00.07Parts of the AMD-23: Pay Items / Charge Codes

13. Example of Special Charge (SC) rounded down to the whole dollar and recorded. $57.43 If the decimal point is confusing, always document the amount in the remarks section.Parts of the AMD-23: Pay Items / Charge Codes

14. Each Pay Item has its own code. Codes can be found on the inside covers of the AMD-23.Most frequently used codes in the SEAT program:FT – Flight TimeEP – Extend PilotET – Extend DriverAV – AvailabilityUA – Unavailability SM – Service MilesPD – Per DiemParts of the AMD-23: Pay Items / Charge Codes

15. Record the fire chemical or water amount delivered. Note: The “Payload” column and the “Use Code” column go together. One records the amount and the other identifies the product. Parts of the AMD-23: Pay Items / Charge Codes

16. Pilots initials; must have for payment. Parts of the AMD-23: Pay Items / Charge Codes

17. Billee Codes are issued by AMD to most every State and Federal agency as identifier codes. A list of Billee Codes can be found on AMD’s Web site.Parts of the AMD-23: Pay Items / Charge Codes

18. Use Codes are found on the inside of the AMD-23 cover. They are required any time flight time (FT) has been entered in the “Pay Code Item” column.Parts of the AMD-23: Pay Items / Charge Codes

19. Each agency has their own format and numbering system. SEMG is not required to know all the different types of coding ! Charge Codes are provided to the SEMG by their supervisor. Caution ! Different SEATs being managed at the same base may be using different charge code formats.Parts of the AMD-23: Pay Items / Charge Codes

20. There is a critical relationship between the Billee Code and the charge code. They must be from the same agency.Example:If using the BLM Billee Code, you must use the BLM charge code format. (Line 1)ORExample:If using a Forest Service Billee Code, you must use the FS charge code format. (Line 2)Parts of the AMD-23: Pay Items / Charge Codes

21. Must have SEMG initials. Cannot process payment without them. Parts of the AMD-23: Pay Items / Charge Codes

22. Examples of Charge Code Formats
