Go
to the online Erasmus application toolSelect the correct file under "My dossiers": it starts with 'Registration on…' In the menu on the left, select "Program Proposal“ + submit Select “Exchange program” in the menu on the leftOnly accurate exchange program proposals can be submitted for approval: use correct course name (check spelling!) and add info on the course + add link to all the available courses abroadSend an email to your program advisor upon submitting your exchange program (if deadline by partner university is approaching shortly)

Slide5Select all courses for 2020-2021 (1st and 2nd semester)
When
you’re
finished, check the box “Show only selected courses” and save your program proposal.

Slide7Add exchange courses and general info
For
each 1st semester compulsory course or elective
course (
from both semesters) that you want to exchange for a course abroad click on “Add Exchange Course”. After that, fill out the course code (as mentioned in your host university), the course name, the teaching language and the number of ECTS. The credit conversion for your university is shown above. Add a link to the course description (next to Url:) or upload a pdf or Word document which describes the course (next to Description) + overview of all available courses abroad.

each course correctly! The courses will appear in
your diploma supplement! Check your spelling!
Slide9Repeat this for all the courses you want to substitute for courses abroad. When you’re done, click
on “Submit Exchange Program”. The online tool will ask
you for a confirmation. The moment
you
click “OK”, you will not be able to change anything anymore
yourself,
because
your
exchange
programme
will
then
be
assigned
within
the tool
to
your
program
advisor
for
approval
.

A replacement by a foreign course of too many ECTS credits can be compensated by replacing another course by a foreign course with less ECTS credits. If possible, a foreign course with sufficient credits attached can be used to replace multiple KU Leuven courses. Conversely, it is possible that a KU Leuven course must be replaced by more than one foreign course to achieve the required number of credits.

Slide12Tips and tricksIf it is impossible to find the right number of ECTS for a certain course, you just have to see that in the end your total amount abroad equals or supersedes the KU Leuven amount of ECTS (difference max 2 ECTS!). Nevertheless, the aim is to match the ECTS for each course separately to the best of your extent.
In total you have to exchange courses for a minimum of 24 ECTS and you may exchange up to a maximum of 36 ECTS. 30 ECTS is advised.
It’s in your interest to pass all courses abroad!

Slide14Learning Agreement (LA) + possible changes to your LA14After your exchange program has been approved by the program director you should download your LA from the home page in the tool and have it signed at your host university + upload it in the tool.Once you are at your host university, you can only make changes to your program in case of force majeure (e.g. time overlap of lectures or exams; cancelled class; change of semester) and these changes should be reported immediately to your program advisor and evidenced by an official email from the host university. You also need to download the “changes to the LA” document from the tool and have it signed by the host university + upload it in the tool
