Delivering a positive enabling environment for UCL Our digital portfolios are mission critical to the work of the university. By creating a positive enabling environment and making improvements to our digital tools and systems we help our community continue life-changing research and teaching and create a positive impact on the world.
We work on a wide range of platforms and systems, carrying out essential maintenance across our digital estate –– allowing UCL to ‘keep the lights on.’
At its core, all our work aims to improve things for our people. We’ve found the best way to do this is to place the experience of users and audiences at the centre. Across our portfolios, we are working to understand our users’ needs, resolve problems proactively and use insight to deliver a comfortable, and efficient experience.
Termly Increment Planning links our high-level strategy to the execution of work at team level. This termly event brings together Digital Portfolio teams with various stakeholders, who articulate their requirements and the benefits to be delivered to help our teams plan their work.<br>

What we delivered last term Expanded coverage of a modern, mobile based, assistive listening technology for an inclusive learning environment within 5x teaching spaces. (DC)
Migrated 4 faculties to our new web platform (Drupal 10) and decommissioned 300 older sites – improved our carbon rating to A in Drupal 10 from F in Drupal 7. (DI)
Delivered a complete appraisal of the existing Research Facilities Management System. (RIO)
Successfully delivered a new version of our staff experience app InsideUCL. (PMI)
Released a new application form and dashboard for staff to support A Level Results Day and Clearing on July 7. (Student Lifecycle)
Collected asset inventory information for 3225 devices and installed protection software onto 740 devices. (FO)
Completed certification and audit of our Information Security Management System to enable secure storage of highly sensitive data. (DRI)
Launched a pilot of Panopto's (UCL's lecture capture platform) user experience trial. (Education)<br>

Our delivery highlights for this term Ensuring high quality study space for students by replacing and upgrading 300 old and out of warranty PCs in student areas. (DC)
Migrating 60% of our digital estate, including the new Brand Portal and all remaining faculties to our new web platform Drupal 10. (DI)
Piloting a central Unified AI platform to give researchers scalable, flexible and easier access to AI tools. (DRI)
Cutting down the wait time between award notification and start of research activity by 8 weeks (RIO)
Improving the assessment and marking process with user experience enhancements in Moodle. (Education)
Developing a KPI and reporting solution for Report + Support data to improve institutional oversight of alleged bullying, harassment and misconduct cases. (PMI)
Completing user testing for the new Student Enquiries system, on-track to go-live in November 2025. (Student Lifecycle)
Improving Education Administration and Student Experience (EASE) services for students and staff in several faculties: Faculty of Brain Sciences, Engineering, Social and Historical Sciences, Arts & Humanities, Faculty of Life Sciences, Mathematical and Physical Sciences and LAWS. (FO)<br>
