SOP 1: All Users Welcome to Naval Hospital Okinawa! This PowerPoint will serve as your guide to gain full access to the hospital’s network Before you start this guide, have the following information available : A working @mail.mil email address (if you don’t have one, or you are unsure, please visit the help desk to have on provisioned) Supervisor’s Name, email and work number. (Dept. Head, LPO, APLO, etc.) Department Head’s Name, email and work number **Please read each slide carefully and in it’s entirety!!**

Completing Required training Pt. 1 Right Click Here And click open in New Tab to bring up the Joint Legacy Viewer in JKO

DMIX Joint legacy viewer training Pt. 2 - Once at the JKO Homepage, select “ Login using my CAC/VA PIV ”- Make sure you select the “DoD Email” certificate when prompted - You’ll be brought to the main DHA or JKO homepage. From here, select the “ Course Catalog ” Tab 3

Completing Required Training Pt. 2 To enroll in HIPAA: - In the “ Title Key Word Box”, Type ‘ HIPAA ’, the hit ‘Enter’ on the keyboard. - The training you want is called “ HIPAA and Privacy Act Training (1hr) ” - Once you find the correct training, click “Enroll” - Once you click “ Enroll ”, This prompt will show up. C lick “ Continue ”. CONTINUED IN PT. 3 ON NEXT SLIDE 4

To enroll in Cyber Awareness: - In the “Title Key Word Box”, Type ‘Cyber aware’, the hit ‘Enter’ on the keyboard.- The training you want is called “ Department of Defense (DoD) Cyber Awareness Challenge 2018 (1hr)”- Once you find the right training, click “Enroll” Completing Required Training Pt. 3

Completing Required Training Pt. 4 - Once you have enrolled in both courses, Click on the “ My Training ” tab. - Scroll down to the bottom of the page until you see your “ Elective Training ” - Click “ Launch ” to start each training. - Upon completion of each training, you will be presented with a certificate, and you will need to save each one to your (P:) Drive - When viewing the certificate, click the “ Save ” icon at the bottom middle of the screen, and save the c ertificate to your (P:) Drive with the following format: LAST.FIRST DDMMMYYYY HIPPA/CYBER AWARENESS respectively 6

Signing the Acceptable Use Policy (AUP) Open up internet explorer and be sure to select the “DOD Email” certification when prompted The Hospitals Sharepoint page will load (Shown above) Click on the “Help ” dropdown menu, and select “ ITD ”. 7

Select “ Request Network/CIS Access ” 8 Signing the AUP – Pt. 2 Right click the ‘ Acceptable Use Policy ’ Hyperlink and open in new tab

READ PAGES 1-5. Make sure you understand – you are legally bound by the provisions in this document. BEFORE signing, fill out your name, rank/grade, date, your clinic/department/directorate, and a phone number (if known) STOP!!!!!!SAVE THIS DOCUMENT BEFORE SIGNING IT!!!Internet explorer has been known to occasionally freeze during the signing process. Saving it before you sign will prevent you from having to redo the entire document, should IE freeze!!! - SIGNATURE: Click on the box to electronically sign the document, click “Sign” and then “Continue”. - MARK “ INITIAL ”- FILL IN TODAY’S DATE- BLOCK 1: As Stated- BLOCK 2: Branch of service and work center Ex: US Navy/USNH Okinawa- BLOCK 3: Directorate/Department (If unknown, leave blank, and come back at a later date to update it) Ex: DFA/ITD (If in IDIV, put “IDIV”)- BLOCK 4: Work number (If unknown, leave blank, and come back at a later date to update it)- BLOCK 5: Official @mail.mil email address- BLOCK 6: As stated - BLOCK 8 & 9: As stated- BLOCK 10: Date of most current Cyber Awareness Training. - BLOCK 11: Fill in ‘DOD ID Number’- BLOCK 12: Mark “Authorized”- BLOCK 13 : Mark “Unclassified” - BLOCK 14 : Leave blank - BLOCK 14a : Enter your PRD, or when you will be leaving the island. If you are a contractor, please specify company name, contract number, and expiration date- BLOCK 15, 15a & 16: Fill in your supervisors* workplace, official @mail.mil email address, and name accordingly. (If unknown, leave blank, and come back at a later date to update it)CONTINUED IN PT. 4 ON NEXT SLIDEFilling Out The SAAR-N Form – Pt. 3 12 Before you start, hit the ‘ Options ’ button on the top right hand corner, and hit ‘ Trust this host one time only ’

Filling Out T he SAAR-N Form – Pt. 4 Skip To Page 3 of The SAAR-N Form - BLOCK 23 : Last, First, MI STOP!!!!!!SAVE THIS DOCUMENT BEFORE SIGNING IT!!!Internet explorer has been known to occasionally freeze during the signing process. Saving it before you sign will prevent you from having to redo the entire document, should IE freeze!!!- BLOCK 24: Click on the box to electronically sign the document, click “Sign” and then “Continue”. This will auto populate the date in BLOCK 25 - BLOCKS 26-33b: Leave blankAll Done! Hit the “Save” icon in the top left corner Save the document to your (P:) Drive following this format:LAST.FIRST DDMMMYYYY SAARYou are able to edit this document at any time, however, before you edit it, you must delete your electronic signature from BLOCK 24. To do this, RIGHT click on BLOCK 24, and select “Clear Signature” 13

At this stage, your (P:) Drive should consist of a completed SAAR-N Form, a signed AUP, a HIPPA Training certificate, and a Cyber Awareness training certificate. **It is important that your supervisor, and department head’s names and emails, as well as your own email, are filled out on the SAAR-N form before continuing.** 14
