Time: After opening of Chapter Meeting 5:30pm (should there be a quorum).The Election will be held on Friday, April 19, 2019 after the formal opening of the chapter meeting and voting instructions have been provided.Voting will conclude at 8:00pm Election results will be provided prior to the end of chapter meeting. Election Criteria for April 19, 2018 Election of: Treasurer, Assistant Treasurer, Member Internal Audit Committee(3 positions), Chair, Nominating Committee-one year term, Nominating Committee(4-8 positions)-one year term Voting Election Rules All Sorors present and financial with Chicago Alumnae Chapter for the 2018-2019 year will be eligible to vote.Sorors must be dressed in business attire to participate in voting, as the election is part of the regular meeting.The method used for the CAC 2019 Election will be electronic voting.Sorors will be escorted to the designated voting area in D’Estee, stop at the election table, and each must sign her name to receive an index card or page with her unique id and the web address (URL) which will direct you to the CAC 2019 Election. Sorors whose name does not appear on the official roster will be referred to the Election Committee’s Solution Soror and/or Finance Team. Sorors will be able to use their personal internet enabled device (smartphone, laptop, iPad) or a computer provided onsite. Sorors who need to access the internet via Wifi will be asked to sign off after she has finished voting. A prepared printed listing all candidates will be taped to the tables in the voting area. Special consideration will be given to Delta Dears or any other Soror needing assistance Definition of Majority Vote A majority vote is defined as “more than half of the votes cast by members legally entitled to vote, excluding blanks, illegal votes or abstentions. (Example: 19 x ½ = 9 ½ = 10 votes needed for majority.)” (Constitution and Bylaws 2017 ed.) Elections Committee  

Spoiled BallotA ballot will be considered spoiled if the general voting procedures are not followed in their entirety. Internal Audit Committee Election ProcedureA maximum of three (3) shall be elected to the Internal Audit Committee. If more than three of the candidates on the ballot receive a majority vote, only three can be elected. Those with the highest vote totals. The run-off procedure will be followed in case of ties or lack of majority votes to fill the position(s).   Nominating Committee Election Procedure The Nominating Committee shall be elected at the same time as the election of officers. A minimum of four (4) and a maximum of eight (8) shall be elected. The committee (which includes the Nominating Committee Chair) shall consist of an odd number. If all candidates on the ballot receive a majority vote, the maximum number that can be elected to the nominating committee is eight. The run-off procedure will be followed if one or more candidates does not receive the required majority of votes cast to fill the minimum of four (4) positions. Run-off Procedure – By paper ballot If no candidate(s) receives a majority of the votes cast for a particular office/offices, members must continue to vote for those offices until someone is elected. The top two candidates will remain on the run-off ballot (RRONR 11th ed. p. 441.) Sorors will be given a ballot, a scantron sheet and voting instructions for ballot completion. #2 pencils will be provided to mark the scantron ballot. Please note, any other writing implement will make the scantron ballot invalid. After ballots have been marked, they will be placed in a sealed ballot box prior to exiting the ballot area. Failure to deposit the ballot prior to leaving the area will render the ballot invalid. Ballots will be counted immediately after voting ends on Election Day and the Election Committee Chair will announce the results.     Elections Committee [slide 2]  

Scholarship Committee Recipients Eligibility – Spring 2019: All recipients met the chapter’s criteria for renewal of their scholarship awards. Vouchers have been submitted requesting the issuance of a check for each student.   Scholarship Applications : The application was posted on the Chicago Public School website on January 11, 2019. To date, a number of applications have been submitted. Application deadline date is March 1, 2019.   Review of Scholarship Funds: The committee’s concerns related to the chapter’s current scholarship obligation, Rosemary Jackson Scholarship, Jabberwock funds, EMBODI/GEMS approved funds not awarded and execution of past committee financial recommendations are being reviewed by the president and treasurer. Following their response, the committee will report the findings to the chapter. Pan Hellenic Council Committee Sankofa Awards luncheon, Saturday, February 23rd, 2019 at The Doubletree Hotel of Alsip, 5000 W. 127th Street, Alsip, Illinois from Noon to 4 p.m. This event is to award scholarship recipients monetary awards based on their academic achievements, along with our Greek lettered chapters, officers and members for their contribution towards a successful year. I have tickets. However, tickets can be purchased on eventbrite. Cost of tickets are $60 per person. NPHC has a number of upcoming volunteer opportunities for us to be involved in. The following opportunities are open for all to attend. If you would like to volunteer, please let me know so I can provide you with the link to sign up for each specific volunteer event. NPHC is currently preparing for their annual Cookout. The proposed dates are June 2nd, June 9th, or June 23rd. The cookout will either be at the Village of Dolton or Calumet Park/Chicago Park District. The Cookout committee is looking for suggested vendors to provide side dishes, DJ services, tables and chairs (if needed), portable toilets, etc. We are also seeking suggestions for vendors who would like to sell merchandise at the Cookout.
