Scheduling reports in BOXI 4.2 is a way of running reports automatically without having to be ‘in attendance’ to make it happen.You can make a report run at regular times and send output to other users in different formats.This guide will show you how to do this

To access the scheduling menu, right click on the report you want to schedule

This is the name you will see when looking at the history of schedules run for this report by you – you can call this whatever you like, but best practise would suggest naming it something similar to the original report name so its easier to tell which report it is based on

In this example, the report will run weekly, every Monday at 03.15. This schedule will stay active until 10/4/2018

In this example, the report will run on the first day of every month, and will be active until 10/4/2018

It is also possible to run reports on specific days according to a predefined calendar – please contact the service desk for help with this feature

Clicking on Modify, will allow you to amend the values in the prompts the schedule will use to run the report

Scheduling Reports in BOXI 4.2The report can be produced in a number of different formats, note that if you want to email a report it cannot be in Webi format and that CSV files have options for their formats

This setting means that the report instance that is produced will be accessible by looking at the schedule history of the report and will not be sent to another location e.g. email/file

BI Inbox, refers to the Business Objects Inbox – the steps below show you how to find a user, specify them as a recipient and then send the report to their Business Objects inbox

Click the name found and then the arrow, to move them into the list of recipients – you can send the report to more than one person

Use these fields to name the report that will be produced – you can either have the system generate a name or give it one yourself – clicking schedule will then schedule the report to run at the time specified and it will be sent to the selected users BOXI inbox

You can also email the output of a schedule to someone – note you cannot email a report whose format is Webi

In this example, every time the schedule runs and sends the output to email, the name of the report and the date and time it ran will automatically appear in the subject of the email – this helps people identify what report has been sent and when

Its also a good idea to do this with the file that will be the report attached to the email and you should always tick add extension so that wen the recipient double-clicks the attachment, it will automatically open up in the correct program.

Scheduling Reports in BOXI 4.2To see the schedules associated with a report, right-click the report and select history – here there are two successful schedules, click on the instance time or title to open up the output – note the parameters used to run the schedule are also displayed
