Instructor Workload Update OverviewSlide4

Reviewing Instructor Assignments and WorkloadSlide5

Please check to verify the correct Instructor Type:

All non-FT Faculty (PEC1, PEC2, PENC, Adjuncts,

and RFPT (Retired

Faculty Pref Teaching) must be coded as

Adjunct Faculty

FT faculty must be coded as FT-Faculty and Advisor

Make sure that the

Effective Date

is before the start of the semester. If you need to create a new effective date you should first try to add a new effective dated row. If that does not work, click

Correct History

.

Instructor Workload

ReviewSlide6

All Adjuncts should have their

Primary Academic Org

of MDC. FT Faculty will have a

numerical Primary Academic Org. If you are unsure, please see your Campus Director of Administration.

Make sure that all viable instructors are coded as

Status

= Active and

Instructor Available

= Available.

Instructor/Advisor Table ReviewSlide7

If the instructor has a

Negative Service Indicator, please check it and follow up, if necessary.

Instructor/Advisor Table ReviewSlide8

This instructor shows that he is missing college transcripts. This needs to be followed up by the chairperson.

Instructor/Advisor Manage Service IndicatorsSlide9

Note that under the

Approved Courses

tab, this instructor shows an

Academic Org of 350080 with an Effective

Date

of 01/01/1901.

Instructor/Advisor Approved Courses TabSlide10

This instructor had his record incorrectly updated by selecting the

Correct History

button. We know this to be the case because there is only 1-of-1 effective dated rows and the row is dated 01/01/1901.

The correct way to update this record and assign this instructor an

Academic Org

is to add a new effective dated row with an

Effective Date

that is

before

the start of the semester. This is accomplished by clicking the

sign.

Instructor/Advisor Approved Courses ManagementSlide11

Please make sure that you select the correct

Instructor Assignment Class

.

Instructor Term Workload - AssignmentSlide12

If the

Instructor

Assignment Class

is coded incorrectly, please select the correct class.

Instructor Term Workload – Assignment DetailsSlide13

Now, check the load value and Empl Rcd# of each assignment. Do this by clicking the

Class Nbr

hyperlink.

Instructor Term Workload – Assignment DetailsSlide14

Check to make sure that the

Instructor Role

is correct and (Grade) Access is set to

Approve. Then, click the Empl Rcd # magnifying glass to check that the correct job was selected.

Instructor Term Workload – Assignment DetailsSlide15

If you do not know which Empl Rcd # to select, click the

New Window

link to open an MDConnect browser tab. Then, look up the course in the Course Catalog.

Instructor Term Workload – Schedule Class MeetingsSlide16

In the

Course Catalog

page, enter the Subject Area and Catalog Number

. Then, press Search.

Course Lookup – Course CatalogSlide17

The

Credit Type

and ICS Code

are listed under Course Attributes. You will use these numbers, along with the

Faculty Instructional and non-Instructional

Positions spreadsheet

to find the correct Empl Rcd #. Note that this is a Credit Type=2 OCCP/Postsecondary Vocational (Credit) class.Slide18

From the

Course Catalog

we know that the ICS that we are looking for is 12701 and that this is a credit course. This means that the Position# is

00851703.

Faculty Instructional and non-Instructional Positions spreadsheetSlide19

From looking at the Course Catalog we know that the ICS that we are looking for is 12701 and that this is a credit course. We also see that the Position numbers, 00851703, match.

We can see that the wrong Empl Rcd # of

0

was selected. It should be 3.

Note:

If you cannot find the correct Empl Rcd #, you will need to contact HR and likely process an RPA.

Instructor Term Workload – Schedule Class MeetingsSlide20

Enter

3

as the Empl Rcd # and click Save

.

Instructor Term Workload – Schedule Class MeetingsSlide21

If you receive this message, and you have correctly coded this instructor as an adjunct, disregard it and click

Save

, again.Slide22

Click on the

Workload

tab to view the Assignment Type and Workload

points. Slide23

All Adjunct instructional assignments that are assigned points must be coded as

In-Load

. All FT faculty in-load assignments must be coded as In-Load

.No Credit is reserved for CEPD classes and for some non-credit classes offered by academic schools.

Do not code PSAV classes as No Credit.

Not Includ

is used only for 0-point assignment classes. Such assignments are typically part of a FT employee’s workload.

Do not use Not Includ when assigning 0 points to a class taught by a FT

instructor,

unless it is an intentional 0-point assignment

.

OL Bank and

OL Pay are reserved only for FT Faculty. Please make sure that you have the appropriate documentation to support the selection of either of these two options.

Make sure that the points that are assigned are correct. The default load value for each course (by component) can be found in the Course Dictionary

.

Instructor Term Workload – Workload Assignment Type and PointsSlide24

Now, we are going to review a 10 point task assignment assigned to a FT instructor.

Please note that all

Task Assignments require an RPA

. Also, you must copy-and-paste here the description from the approved spreadsheet that was submitted to the Office of Faculty Initiatives.

Select the correct Task assignment type from the

Assign Type

drop-down menu.

Make sure that the

Confirm Completion

check box is unchecked.

You will need to check the box to confirm completion once the task is completed.

This is the only action that will trigger payment for this assignment.

Enter the assigned points.

Instructor Term Workload – Assignment DetailsSlide25

Click the

Job Code

tab to select the correct Empl Rcd #.

Then, click the magnifying glass to select the correct job.

Instructor Term Workload – Assignment DetailsSlide26

The Empl Rcd #

that corresponds to the ARCOS FACULTY

PEER-LED grant is 3

.

Instructor Term Workload – Assignment DetailsSlide27

Click the

Save

button.

Instructor Term Workload – Assignment DetailsSlide28

Do not enter an MDC instructional assignment this way. Attach the instructor to the class via the Schedule Class Meeting page.

Instructor Term Workload – Assignment DetailsSlide29

Important things to remember:

Do not enter/save an assignment if the Empl Rcd # display window has no Empl Rcd # and Job Codes.

All non-instructional assignments (Task and Release) require the entry of Empl Rcd #s in the Instructor Term Workload Job Code tab.

Check

all

instructional assignment in the Instructor Term Workload page. Do not rely on the Class Master Report as the source of truth.

Enter Task and Release assignments in the Instructor Term Workload page – this includes points, Empl Rcd #, and Assignment types.

All Task Point Assignments require an RPA. There are no exceptions to this rule.

All

Release assignments will be coded with the topmost In-load Empl Rcd #. The job code will be one of following 100100, 100101, 100102, 100103, 100104, 100105.

Select the correct Empl Rcd # using

the Faculty Instructional and non-Instructional

Positions spreadsheet

and

the MDConnect Course Catalog.

Use the MDConnect Course Catalog – Main menu > Curriculum Management > Course Catalog > Course Catalog – if you need to look up a Course ICS number and match it with the ICS codes listed in the Faculty Instructional and non-Instructional Positions spreadsheet.Select the Assignment Type for each assignment:In-Load (FT and Adjunct Faculty)No Credit (non-credit classes only)Not Includ (for 0-pt assignments that are taught by FT employees as part of their job duties)

OL Bank (FT faculty only)OL Pay (FT faculty only)

Please refer to the CS Instructor Workload Presentation2, 05-12-16 PowerPoint Presentation for instructions on how to add/split an instructional assignment so that part of the total workload is in-load and the remainder is overload (or assigned to another instructor).Slide30
