Web Guidelines and Policies Web maintainers will be held responsible for all content on their website(s): M ust abide by the  web guidelines and policies  of Tarleton State University as well as the Terms of Service ) Must be an active maintainer Must remove old files and replace outdated content on a regular basis Must receive regular training as the software or best practices change Refreshers are encouraged! Access will be revoked for individuals who do not comply with these guidelines and policies.

Success in Cascade = Proficiency in Today's Digital Tools and Concepts Having a technical proficiency in today's digital environments will allow you to appropriately and correctly update your website : Understand web concepts (e.g. metadata, SEO, web address) Understand how to use photo editing software (e.g. cropping and resizing, not squeezing or stretching) Discern quality and appropriateness of photos

Keeping Your Content Fresh You can keep your content fresh without editing your website inside Cascade CMS: Send News and Information your press releases (and we will add a news feed to your website) Add events through the LiveWhale calendar syste m (and we will add a calendar widget to your website)

Image Content (e.g. Google Image Search) Audio Content (e.g. contemporary music) Video Content (e.g. film/television broadcasts) Textual Content (e.g. trademarked names )

Security File types : Some file types are high risk for virus, Trojans, and worms, so you are limited to uploading: jpg , docx , doc , xls , xlsx, ppt, pptx, pps, ppsx, pdf, txt*, zip*Links to external content: Follow Link Policy and review links* for suspicious activity or content (e.g. bad actors like fake ranking and press sites) *Be very cautious about placing files or links you did not create on your website. Security Password Protected Content* : Determine if content can be placed behind current security walls (e.g. Blackboard, wiki, shared drive, Syncplicity ) Hidden Content : Determine if content needs to just be hidden* and not linked to from public website. Do not post confidential information on the public website. *Notify University Web Strategy of content you need hidden or secured before you consider publishing the content.

Privacy Personally Identifiable Information (PII) : Non-directory information that can be used in identity theft, including birthdate, driver’s license, passport numbers, and credit card information . Protected Health Information ( PHI) : Health information that identifies an individual’s past, present, or future physical or mental health or condition, the health care received, or payment for health care. Per FERPA (Family Educational Rights and Privacy Act) and HIPAA (Health Insurance Portability and Accountability Act of 1996) laws, PII's and health information cannot be placed on forms unless the submissions can be processed securely.

Privacy Many of our integrated services (e.g. Wufoo ) are provided through unsecure channels like email . Online forms with PII and/or PHI must be printed out by the user (e.g. PDF document) mailed in or handed in personally provide these instructions in an obvious place on the form

Web Maintenance Editing a Page (Editing a Content Module Block) Creating a Hyperlink Replacing/Uploading Files Inserting Images Troubleshooting

Editing a Page Select a page from left Site Content panel, and review the name of the Content Module you want to edit by selecting View Module just above it. Select the Edit button, and scroll to that Content Module Block . Right-click or long-touch the block, and select Edit . (Press OK if asked to leave the page.) Make your edits and select the three dots button, then Check Content & Submit. If this does not bring you back to the Page you were editing, preview the Page, and check for any warnings before selecting Publish.

Editing a Content Module Block Review the Content Module Blocks for most current responsive editing options. Editing is broken down into these common areas: Basic Content  (textual) WYSIWYG (What You See Is What You Get) Editor Buttons Images Links Videos

Notes on Editing a Content Module Block If copying information from an email or Word document, etc., use the new Paste as Text menu option under Edit in the WYSIWYG editor or copy and paste from Notepad and reformat. Contact Web Strategy about adding tables (or table rows and columns for editing) as these are typically non-responsive. Images cannot be inserted in WYSIWYG editor areas. This ensures they keep their responsiveness and reduce load time.Adding a style to a paragraph:Highlight the paragraph that needs the distinctionSelect Formats , then select Custom , and select the style from the list

Decision Process for Using Styles in Moderation: Can you fix it by… using a particular content module to convey meaning? (e.g. slideshows and photo features stand out more) using correct semantic language? ( e.g. list items or tabular data instead of paragraphs ) bolding/italicizing a phrase or keyword convey the importance or emphasis needed?rearranging the layout of the content to better convey relevance of the information?using a style to convey the purpose better? instructions : focused importance to a particular set of instructions warning : more urgency, such as deadlines and risk-related themes caution : cautionary or advisory information : informational , providing additional importance to a piece of information teaser : introductory , providing an overview or summary of what is to follow next

Creating a Hyperlink Review the Content Module Blocks for most current editing options. From WYSIWYG Editor : Highlight the text that will be the link. Select Insert/Edit link . For any assets within Cascade, select Internal and then select Choose File, Page, or Link. Find your asset through your Recents tab or Browse one of the Sites.For any assets you need to upload into Cascade, select Internal , then select Choose File, Page, or Link . Switch to the Upload tab. Browse for the new file on your computer. Find your Placement Folder, and then select Choose . For external websites outside of Cascade , select External and paste the full link in the link box. For emails , replace the “http://” with “mailto:” and enter the email address. For phone numbers , “ tel :+1” and then enter the number with the U.S. area code, without hyphens.

Add or Replace Files? Not every update requires a new file to be added to Cascade. Use generically named files, so you can replace files in two easy steps: Replace the same file in the documents folder Publish file instead of this process: Upload file into documents folder Publish file Go to each Content Module Block and replace the old file link with the new file link Publish each page that had a Content Module Block affected Rinse and repeat Delete the old file

Replacing a File Go to the file inside Cascade (typically in “documents” or “forms” folder) and select Edit Browse for the new file on your computer Select Check Content & Submit Select Publish on the file

Uploading a File (from Placement Folder) From Placement Folder (somewhere in “documents” or “forms” folder): Go to Add Content > Default > File (or type ‘File’ in the search box) Browse for the file on your computer Be sure to check that the file name uses proper file naming conventions Select Check Content & SubmitSelect Publish on the file

Inserting an Image Review the Content Module Blocks for most current editing options. Make sure the photography fits the dimensions of the Content Module Block as well as photo quality standards . Contact Web Strategy for assistance with graphics and other images. For photography images : Select Edit on the Content Module BlockSelect the Image from within Cascade or Upload one as seen in Uploading a File from WYSIWYG EditorEnter Alternative Text that would display if the image didn’t appear

The only problem with troubleshooting is that sometimes trouble shoots back. Unknown

Paragraphs in WYSIWYG Editor Paragraphs do not appear to be aligning correctly in the Page preview or they are small in the WYSIWYG editor. From WYSIWYG Editor : Select inside each small paragraph Make sure the Formats box says “Paragraph” under Blocks . You can also press Enter after a paragraph and then Backspace to change it to a paragraph.

Bad styling in WYSIWYG Editor My text looks weird. It’s too big or doesn’t match the rest of the text. What can I do? From WYSIWYG Editor : Highlight the text you want to change Select Clear formatting from the Format menu. If copying information from an email or Word document, etc., use the new Paste as Text menu option under Edit in the WYSIWYG editor or copy and paste from Notepad and reformat.

Publishing to Production Server I don’t see my updates on the website. What can I do? To Publish to the Production Server: Select Publish Check the Production Server box Select Submit Check the Publishing Queue: Select the hamburger menu button on the top right Select Publishing Queue, and check if your content is still publishing

Check for Publishing Errors: Select Cascade icon to get to the Dashboard Check your Notifications for any recent red error messages (send errors to University Web Strategy) Clear Your Browser Cache: Depending on your browser, you may need to “clear your viewing history” and/or Refresh your webpage or document

Finding the Web Address I don’t know where my content published on the Tarleton website. How can I find it? Select the Page or File in Cascade Select the More button Select Live , and you’ll see the web address on the browser

Errors on the Page I published the page, but content is missing that I know I added in the Content Module Block(s). What do I need to do? From WYSIWYG Editor : Review any errors in highlighted content Resolve issues (e.g. select Clear formatting from the Format menu) From the Preview of the Page in Cascade Before Publishing : Review any errors and explanations in highlighted content Resolve issues in the Content Module Blocks (e.g. fix bold/italics on paragraphs, write understandable link text or alternative text)

Updates on Drafts I edited my content, but I’m not seeing it on the preview of the Page. Why is that happening? After Editing from the Content Module Block : See if a dropdown menu is showing next to the Page Title for Current and Draft Select Draft and determine if it should be Submit ted or DiscardedBefore Submitting from the Content Module Block: Instead of using Save & Preview , select the three dot button Select Check Content & Submit (add comments if you want).
