PROFILES

–This is a record of information about the guest, company, agent, and group, including previous stays and open reservation. Each guest reserving a room at a hotel must have a profile. Even after the guest departs the hotel, the profile remains in Opera for the next reservation. As more information about the guest is available to the hotel, the profile updates as well. A profile keeps track of the guest’s special requests and preferences, as well as address and contact information. You may keep extensive text notes for a guest as well as credit card information, membership numbers and any negotiated rates the guest may be eligible to receive.

Profiles can be quite extensive for regular guests and help to achieve the guest’s expectations for each and every visit.

Guest profile on-hand allows you to make reservation quickly and accurately because you already have the record of the guests’ details that are required before reservation.Slide3

1. INDIVIDUAL PROFILE

This profile type is primarily associated with guests, although other persons (such as your employees) may also have an individual profile.

2. COMPANY PROFILE

These are business who book catering functions with the property, the business who sponsor guest reservations, the vendor who provide goods and services to the property and so on.

Company profiles track the numbers of guests stays as well as revenue that the company has booked at the hotel.

If a company has a negotiated rate, it can be booked for a guest by attaching the company’s profile to the guest reservation.

Company profiles may have direct billing through accounting, and in this case the company profile information is available to create the A/R account.Slide5

3. TRAVEL AGENT PROFILE

Travel Agents are Professionals who book business at your property. Travel agent profile are important in managing relationships and in handling the commissions you pay to agencies.

It provide tracking for commission payment information. Each travel agent profile tracks the percentage commission that agent should receive for booking rooms, as well as the address information for sending the check once a commission is ready to be paid.Slide6

4. SOURCE PROFILE

Sources are other persons or organizations who are not travel agents but who are nevertheless responsible for bringing business.

Sources can be Secretaries who reserve for their companies’ executives and employees.

Source profiles can also calculate commission records to keep group or wholesale commission records separate from actual travel agent.Slide7

5. GROUP PROFILE

Group is an affiliation that sponsors business at your property. Group business might include any (typically) one-time affair such as a family party or a wedding.

This profile must be present on a Business Block before being able to make reservations for the group.Slide8

6. CONTACT PROFILE

Contact are people who serve as an interface between your staff and a guest or business account. Reliable contract information can be key-in quickly resolving questions and making decisions. Contracts have a double identity in Opera. Each contract also has an individual type profile.Contact Profiles are optional for hotels and generally are useful when a large amount of group business takes place at the hotel.

Contact profiles assist with tracking individual meeting planners and organizers and the amount of business that each meeting planner brings to the hotel.Slide9

Guideline for Completing the Task:

Study and evaluate the given hand-out for important concepts, processes and key terms.

Navigate around the Main Menu, Reservations and Profiles.

Prepare an effective presentation to report the assigned topic.

Include diagrams (see figure below) to add credibility and integrity to your group work.

Prepare comprehensive activity (Database), complete with directions to further illustrate the newly learned concepts. Save it using the filename: Group(#)_1115. (Include members’ names below)

Every member should upload initial Presentation and Word files (today) through the File Server. Enhance your presentation and be prepared for a reporting activity starting Nov. 17. Also, prepare the printed activity and have it photocopied for everybody. (Borrow LCD projector in your department a day before the reporting )
