Local Victim Assistance Fines Semi-Annual Report

The purpose of this PowerPoint is to provide County reporters with information provided in the Local Victim Assistance Fines (5% Funds) Semi-Annual Report. This presentation includes screen shots of the report along with other relevant information needed to assist Counties in completing the report. Slide3

Login Information

Each county has been designated a unique ID and password to enter the semi-annual report. The ID is comprised of the word “County” followed by 3 digits. Please enter this information directly into the ID field.

The password is 4 random digits. Please enter this information directly into the field.

Introductory Page

The introductory page is a welcome screen and explains the purpose of the report and what information is needed to complete the report. Slide5

Please enter the name, e-mail address, and phone number of the person filling out the report

Please select the time frame for which you are reporting dataSlide6

County Selection

Using the drop down menu, select the County for which you are reporting 5% disbursements

Each County will need to complete its own report.Slide7

Frequency of Receiving 5% Funds

Please select how often the County receives 5% disbursementsSlide8

5% Disbursements to Certified Agencies

Please select the agency in your county responsible for dispersing 5% funds to local certified victim assistance agencies

The individual completing the report should be part of the entity selected

If the entity is not listed, please enter the agency name next to the “Other” categorySlide9

Amount Collected During Reporting Period

In the space provided, enter the amount of 5% monies collected during the reporting period

This amount should be the same amount reported by the Georgia Superior Court Clerk Cooperative Authority (GSCCCA). The amount of funds reported by GSCCCA is listed on the e-mail sent by CJCC advising Counties of their username, password, and due date of the report. Slide10

Retained Fees

This page defines the different types of retained fees as well as the maximum amount allowed to be retained.Slide11

Retained Amount for Administrative Purposes

Please enter the amount of money retained for administrative purposes during the reporting period

This amount CANNOT exceed 5% of the monies collected during the reporting period

If the County did not retain

any money for administrative purposes, you must enter ‘0” in the provided boxSlide12

Usage of Administrative Retained Fees

If the County stated retaining any

amount to be used for administrative purposes, the next page will ask about the usage of administrative retained fees. Select all the functions that administrative retained fees were used for. Use the “Other” categories to list usages not listed.

If the County reported “0” for administrative retained fees, the system will automatically skip this pageSlide13

Retained Amount for Contingency Fund

Please enter the amount of money retained to be used as a contingency fund during the reporting period

This amount CANNOT exceed 5% of the monies collected during the reporting period

If the County did not retain any money for contingency purposes, you must enter ‘0” in the provided boxSlide14

Unexpended 5% Funds

Enter the amount of unexpended 5% funds (5% funds that were reserved from previous years for a contingency fund) that the County has available Slide15

Agencies who Received 5% Disbursements

Please select all agencies that received 5% disbursements during the reporting period. To find the name of an agency quickly, press CTRL+F to search for the agency name.

Several agencies have common names. Common names have been added in parenthesis to help correctly identify agencies.

Ideally, there should be no agency that was given disbursements that are not on this list, as all agencies

MUST

be certified through CJCC to receive 5% disbursements. However, there is a “None of the Above” and “Other Agency(

ies

)” option at the bottom. “None of the Above” cannot be used in combination with any other selections. If several agencies were given disbursements and all but one is on the list, please select the agencies on the list and then select “Other Agency(

ies

Disbursed Amounts

Based on your selection of agencies on the previous question, this page will filter only the selected agencies. Please enter the amount of money disbursed to each agency.

The report formulates the maximum amount of funds available for disbursal depending on the amount of reported retained fees. You will get a system error if you report more money being dispersed than what is available. For example, if you reported collecting $5,000 during the reporting period and $250 was used for admin. purposes and $250 was saved as a contingency fund, you have $4500 available for dispersal. If more than $4500 is entered as being disbursed to agencies, the report will give you an error and you must fix your numbers. Slide17
